MTBF means mean time between failures, and MTTR means mean time to repair or restore. Facilities managers use these metrics to understand reliability and maintainability, but the numbers are only useful when work-order data, failure definitions, operating context, and asset boundaries are consistent.

The plain-English definitions

Mean time between failures is typically calculated by dividing operating time by the number of failures for a defined asset or group of similar assets. Mean time to repair is typically calculated by dividing total repair or restoration time by the number of repair events. The formulas are simple; the interpretation is not.

A chiller, pump, door operator, air handler, boiler, generator, lift station, or production support system may operate in different conditions, duty cycles, and risk categories. One asset may run continuously; another may run seasonally. One failure may be a nuisance alarm; another may shut down a critical space. Facilities managers need to define what counts before comparing numbers.

Why clean work-order data matters

A facilities team cannot calculate useful MTBF or MTTR from inconsistent work orders. If one technician records a failure when an asset stops, another records it when a tenant complains, and a third records it only when a replacement part is installed, the data will not compare well.

At minimum, the team should define asset ID, failure start, repair start, service restored, failure mode, cause code if known, work type, parts used, and whether the work was planned or emergency. For MTTR, the team must decide whether travel time, diagnosis time, waiting for parts, shutdown coordination, and testing are included. There is no universal answer for every organization, but the definition must be consistent.

  • Assets with rising emergency work compared with planned work.
  • Failure modes that appear across multiple similar assets.
  • Repairs that restored service but require follow-up root-cause review.

Maintenance questions behind the numbers

Good facilities managers use metrics to ask better questions. Why did this pump fail twice after seal replacement? Why does one location have more door operator calls than similar locations? Why does a roof drain issue always become an emergency instead of a planned task? Why does the same vendor restore service quickly but return repeatedly?

MTBF can point toward reliability issues. MTTR can point toward maintainability, staffing, access, documentation, spares, vendor response, or troubleshooting issues. Together, they help managers decide whether to redesign, replace, stock parts, rewrite procedures, retrain staff, or adjust contracts.
